TERMS OF REFERENCE – NIS Procurement Intern

The Nordic International Support Foundation (NIS) is a Norwegian-registered non-profit organization engaged in stabilization and reconciliation initiatives in conflict and post-conflict areas. Our primary areas of intervention are institutional development, public service delivery, and conflict resolution. Headquartered in Oslo, Norway, NIS recently finalized a project in Sri Lanka and currently implements projects in Somalia, Myanmar, and the Sahel.
NIS Somalia is currently implementing a wide range of stabilization projects in all different FMS of Somalia. The organization has offices in Mogadishu, Hargeisa, Garowe, Baidao, Kismayo, Buloburde and operational presence in all Somalia regions.
We are looking for a dynamic, energetic interns who are eager to learn about our organization by assisting various departments. You will be working closely with our team to implement projects, work on support activities and attend meetings where you will be asked to take minutes.
To be successful as an Intern, you should be willing to help with any tasks assigned by the supervisor. You will be involved in different activities as well as assisting with individual line managers.
Main Tasks and Responsibilities for procurement intern.
- Ensure all procurement processes are in compliance with logistics handbook and donor requirements.
- Preparation of RFQs, getting quotations, prepare bid analysis and upload POs.
- Liaise with suppliers to ensure prompt and accurate delivery of goods and services.
- Assist with Organizing of transport of materials according to procedures on a timely manner
- Update vendor list
- Ensure accurate inventory reports are sent to the logistics and procurement coordinators on a timely manner.
- Ensure there is a proper filing system for procurement documents for easier retrieval and when needed and also an archive for old documents.
- Facilitate the receiving and dispatching of supplies and project materials to the respective field offices on a timely manner.
- Fleet management.
- Distribute/organize transport of material and equipment according to procedures
- Any other duties assigned by your supervisor
- Register PRs and PO in Sage.
- Ensure Managing and Updating inventory/ asset list for all NIS Somalia.
- Ensure proper documentation and filing.
- Prepare full support documents for all procurements for payment in finance
- Vehicle Management.
- Perform other duties as required.
Intern Requirements:
- Recent graduate with Certificate plus transcript
- Eager to learn and work with various departments in the organization.
- Excellent verbal and written English communication skills.
- Proficiency in Microsoft Office.
- Ability to work with financial systems.
- Ability to multitask.
- Cope well under pressure.
- Patience and teamwork
